These Terms & Policies apply to all services provided by Urban Vibes (“we,” “us,” “our”). By booking our services, you (“the Client”) agree to the terms outlined below.

 

 

 

 

1. BOOKING & RESERVATIONS

 

 

All bookings are subject to availability.

A non-refundable deposit is required to secure your event date.

Your booking is not confirmed until the deposit is received and confirmation is sent.

Remaining balance must be paid before or on the event date, unless otherwise agreed in writing.

 

2. PAYMENTS

 

 

Accepted payment methods: [Cash / Zelle / Cash App / Bank Transfer / Other]

Prices listed are starting prices and may vary based on:

Event size

Duration

Location

Special requests

 

Any additional services requested on the event day must be paid before final delivery.

 

 

 

 

 

3. CANCELLATIONS & RESCHEDULING

 

 

 

Client Cancellations

 

 

Deposits are non-refundable under any circumstances.

If the event is canceled, any additional payments made may be credited toward a future booking at our discretion.

 

 

 

Rescheduling

 

 

One reschedule may be allowed, subject to availability.

Rescheduled events must take place within [X months] of the original date.

Additional fees may apply if services, location, or duration change.

 

 

 

 

 

4. EVENT DAY RESPONSIBILITIES

 

 

The Client is responsible for ensuring:

Timely access to the venue

Proper permissions to film and photograph

A safe working environment for our team

 

Urban Vibes is not responsible for missed coverage due to:

Late starts

Restricted access

Interference from guests or venue staff

Unforeseen circumstances beyond our control

 

 

 

 

 

 

5. COVERAGE TIME & OVERTIME

 

 

Coverage time begins at the scheduled start time agreed upon.

Overtime is billed at an hourly rate and must be approved by the Client.

If overtime is requested on-site, payment must be made before or immediately after the event.

 

 

 

 

 

6. DELIVERABLES & TURNAROUND TIME

 

 

Standard delivery time is 5–10 business days unless otherwise stated.

Express or same-day delivery is available for an additional fee.

Final deliverables include:

Edited photos

Edited video content

Online delivery via digital gallery or download link

 

Raw footage is not included unless explicitly agreed upon in writing.

 

 

7. CREATIVE STYLE & EDITING

 

 

By booking Urban Vibes, you acknowledge and accept our creative style, editing approach, and professional judgment.

Requests for re-edits beyond the original agreement may incur additional charges.

 

 

 

 

 

8. USAGE RIGHTS & CONTENT OWNERSHIP

 

 

Urban Vibes retains the copyright to all photo and video content.

Clients receive personal and promotional usage rights, including:

Social media

Websites

Personal sharing

 

Content may not be sold, altered, or licensed to third parties without written permission.

Urban Vibes reserves the right to use event content for:

Portfolio

Website

Social media

Promotional purposes
(Clients may request privacy in writing prior to the event.)

 

 

 

 

 

 

9. LIABILITY & LIMITATIONS

 

 

Urban Vibes is not liable for:

Venue restrictions

Weather conditions

Guest behavior

Equipment failure beyond reasonable control

 

In the unlikely event of total service failure, liability is limited to the amount paid by the Client.

We are not responsible for lost or damaged content due to circumstances beyond our control (fire, theft, acts of nature, etc.).

 

 

 

 

 

10. FORCE MAJEURE

 

 

Urban Vibes shall not be held responsible for failure to perform services due to events beyond reasonable control, including but not limited to:

 

Natural disasters

Government restrictions

Illness or emergencies

Power outages or venue shutdowns

 

 

In such cases, reasonable efforts will be made to reschedule or provide alternatives.

 

 

 

 

11. CONDUCT & PROFESSIONALISM

 

 

We maintain a professional, respectful environment at all events.

Abusive, threatening, or unsafe behavior toward our team may result in early termination of services without refund.

 

 

 

 

 

12. AGREEMENT & ACCEPTANCE

 

 

By submitting a booking request, paying a deposit, or utilizing our services, you acknowledge that you have read, understood, and agreed to these Terms & Policies.
